Terms and Conditions
Effective Date: January 1, 2026
1. Acceptance of Terms
By accepting these Terms and Conditions and making a deposit or full payment, the traveler enters into a binding travel contract with Kalama Safaris (hereinafter “KS,” “we,” or “us”). A booking may be made online at www.kalamasafaris.com or by email at david@kalamasafaris.com for private, customized safaris. Your booking is confirmed upon receipt of our electronic confirmation and receipt.
2. Travelers Requiring Special Assistance
Travelers who require special assistance, including but not limited to those who use a wheelchair periodically or permanently, must be accompanied by a fit and able companion who will be fully responsible for providing all necessary assistance throughout the safari. Kalama Safaris will check with the relevant facilities and accommodations for accessibility provisions prior to paying the deposit to book a tour.
3. Changes to Itinerary
The travel contract is based on the KS itinerary provided to you (posted on www.kalamasafaris.com or emailed). KS reserves the right to make necessary changes due to safety concerns, accommodation availability, weather, wildlife movements, or other circumstances beyond our control. If changes or deviations are required, KS will, in good faith, arrange comparable alternatives at no additional cost to the traveler. We will notify you immediately prior to or during your tour of any such changes.
Any changes or deviations requested by the traveler during the safari that differ from the agreed itinerary will be subject to additional charges and availability.
4. Payment Terms
- Adult 18+ Double Occupancy
- Single traveler at the same price as double occupancy – no supplements
- Youth 75% Per Youth Age 13-17 Double/Triple Occupancy with at least one adult
- Child 50% Per Child Age 4-12 Double/Triple Occupancy with at least one adult
- Infant/Toddler No Cost – Do not include as a paid traveler.
Discounts

| Groups of 7-12 | $150 per traveler |
| Groups of 13-18 | $200 per traveler |
Once you have chosen a scheduled tour or we have agreed upon the private/custom safari itinerary and price, a 20% deposit is required to secure your booking – per person cost for each traveler. The balance is due no later than 90 days prior to the tour start date. All prices are quoted in USD.
The balance due Invoice will include:
- Deductions for youth, children, group, and other agreed-upon discounts.
- An additional 3% processing fee for any credit or debit card payments.
Any bank receiver fees that may be charged when funds arrive in our account. This document explains typical bank fees.
- To avoid multiple bank transfer fees, you may pay the full amount at once.
Invoice disputes must be submitted in writing within 90 days of the invoice date. After 90 days, the invoice must be paid in full, even if there is a dispute exists.
5. Cancellation and Refund Policy
- Cancellation 90 or more days before start date (100% refund of price less a $300 administrative fee per person)
- Cancellation 89-60 days before start date (75% refund of price less a $300 administrative fee per person)
- Cancellation 59-30 days before start date (35% refund of price less a $300 administrative fee per person)
- Cancellation 29-0 days before start date (0% refund of price per person)
We strongly encourage you to purchase travel insurance!
6. Force Majeure
In the rare event of a Force Majeure Event (unforeseeable circumstances beyond our reasonable control, including natural disasters, pandemics, war, government restrictions, or other events), KS may terminate or modify the contract upon at least ten (10) days’ written notice. We will make reasonable efforts to recover and refund amounts paid, less any non-recoverable costs or commitments already made to suppliers. KS will not be liable for any further damages or losses arising from such events.
7. Unused Services
If you do not use individual travel services (e.g., due to early return or other reasons), KS will attempt to recover refundable amounts from suppliers. However, this is not guaranteed and does not apply to insignificant services or where refunds are prohibited by law or supplier policy.
8. Termination by KS
KS may terminate the contract immediately (at the traveler’s expense) if the traveler fails to follow safety instructions, endangers others, or persistently disrupts the safari despite warnings.
9. Waiver, Indemnity, and Hold Harmless
KS carefully selects reliable third-party suppliers (lodges, camps, transportation, guides, etc.). We act solely as agents in making these bookings on your behalf.
You agree to indemnify and hold harmless KS, its owners, employees, agents, and affiliates from all claims, demands, damages, losses, liabilities, costs, or expenses (including injury, illness, death, or property damage) arising from or related to your participation in the safari—except those directly and solely caused by KS’s gross negligence or willful misconduct.
By making payment or participating, you irrevocably waive, release, and discharge KS from any and all claims arising from the safari, including transportation, activities, and post-trip effects.
10. Assumption of Risk
Travel in East Africa involves inherent risks, including encounters with wild animals, remote terrain, variable weather, limited medical facilities, and potential exposure to diseases. To date, no guests of KS have been affected by these risks.
You acknowledge these risks and accept full responsibility for your participation, including compliance with all health requirements, travel advisories, and personal safety precautions.
